Privacy Policy
Last updated: 16 October 2026
This policy explains how Woldhaus collects and uses your personal information when you visit our website, fill in one of our forms (including forms on Facebook and Instagram), or talk to us about your holiday let. We keep it short and plain.
Who we are
Woldhaus is a trading name of TBCW Property Ltd, a company registered in England and Wales (company number 15743852). Registered office: 9 Stratfield Park, Elettra Avenue, Waterlooville, Hampshire, PO7 7XN.
TBCW Property Ltd is the "controller" of your personal information. If you have any questions about this policy or your information, email us at host@woldhaus.co.uk.
What we collect
When you ask for a Revenue Review or contact us, we collect the details you give us:
- your name, email address and phone number
- your property's postcode or village and the number of holiday lets you own
- links to your property listings (for example on Airbnb or Booking.com)
- anything you tell us in messages, emails or on calls
We also look at the public information on your property listings (such as price, availability and reviews) to prepare your Revenue Review.
When you visit our website, we and our partners collect some technical information automatically, such as the pages you visit, your device and browser type, and whether you arrived from one of our adverts. See "Cookies and the Meta Pixel" below.
How we use it, and why we're allowed to
- To prepare and send your free Revenue Review, and to reply to you. You asked us to, so we rely on taking steps at your request before a possible contract, and on our legitimate interest in responding to enquiries.
- To follow up about our services by phone, WhatsApp or email. We rely on our legitimate interest in following up a business enquiry you made. You can tell us to stop at any time and we will.
- To manage your property if you become a client, under our agreement with you.
- To measure and improve our adverts and website. Where this uses cookies or similar technology that isn't strictly necessary, we rely on your consent.
- To meet legal obligations, such as keeping business and tax records.
We don't sell your information, and we don't use it for anything unrelated to your enquiry or our services.
Who we share it with
We only share your information with people who help us run Woldhaus, and only as much as they need:
- our team and directors working on your enquiry or property
- service providers who host or process data for us, including Netlify (website and forms), Microsoft (email), Google (calendar and video calls), Meta (Facebook, Instagram and WhatsApp, including lead forms and advert measurement) and our booking and channel management software
- professional advisers, such as accountants and lawyers, when needed
- authorities, if the law requires it
Some of these providers store data outside the UK. Where they do, they use safeguards approved under UK data protection law, such as the UK International Data Transfer Addendum or an adequacy decision.
Cookies and the Meta Pixel
Our website uses the Meta Pixel, a small piece of code from Meta Platforms. It tells us when someone who saw one of our adverts visits our site or sends us an enquiry, so we can see which adverts work and show them to the right people. Meta may combine this with information it already holds about you, under its own privacy policy.
You can control how Meta uses this through your Facebook ad preferences, and you can block or delete cookies in your browser settings at any time.
How long we keep it
- If you make an enquiry but don't become a client: up to 24 months after our last contact, then we delete it.
- If you become a client: for as long as we work together, then for up to 6 years for legal and accounting reasons.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong
- delete your information
- stop or limit how we use it, including stopping all follow-ups
- send your information to you or another organisation in a usable format
You can also withdraw any consent you've given at any time. Just email host@woldhaus.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping it safe
We use reputable, secure services, limit who can see your information, and protect our accounts with strong passwords and two-step sign-in.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
